Job Description

Job title: Trust Administrator
Reports to: Charity Manager 
Hours: Up to 30 hour per week  
Location: Gloucester 

Position Summary
You will work as part of the Charity team, providing administrative support within all areas of James Hopkins Trust. Tasks to include updating our Finance, HR and Customer Relations systems with varying records, spreadsheet upkeep, confidential filing, reception duties and supporting stock control and housekeeping.  

Key responsibilities and accountabilities

  • Financial duties including, counting cash, banking of cash and cheques and daily input of financial activity into the relevant accounting system
  • Administration of HR records and compliance
  • Confidential filing and admin as requested by the nursing team in line with CQC & OFSTED requirements
  • Administer data received from online & postal forms, and follow up as necessary
  • Fundraising Support – liaise as requested to support and encourage our supporters at all stages, update any project/event logs, create invoices, use database to update payments, create records and attach documents, notes and emails as requested to ensure full history is maintained
  • Assist with writing charity letters and communications
  • Answering telephone calls and taking messages when necessary
  • Provide front of house reception duties
  • Provide administrative support with stock when required, and in particular for our larger signature events
  • Provide excellent levels of customer service to all visitors, supporters, families and staff
  • Preparing the daily post and arranging couriers as required
  • Other administrative assistance where required 

General

  • Maintain an up-to-date knowledge of current and planned activities
  • To carry out any additional tasks as reasonably requested in line with the general responsibility of the role

There may be a rare requirement for occasional evening and weekend working, for which you should take time off in lieu at a time to be agreed with your line manager.

PERSON PROFILE

Key Criteria  Essential  Desirable 
Qualification 
  • Minimum of 5 GCSE’s (min level C), or equivalent to include English and Maths / Literacy and Numeracy Level 2
  • Level 2 NVQ Business Administration

 

Experience 
  • A proven track record of delivering a high standard of customer service
  • Experience dealing with general administrative duties; incoming and outgoing post, answering the telephone, scanning and filing
  • Possess excellent relationship building skills and have a track record in creating mutually beneficial partnerships
  • Proven experience of using accounting software to support financial procedures
  • Understanding of HR procedures and compliance
  • Proven experience of working with/using a Customer Relationship Management system
  • Meeting and greeting a diverse range of visitors to the workplace 
Skills and Knowledge 
  • Excellent administrative skills, with the ability to manage workloads and meet deadlines
  • Confident in using Microsoft packages & Outlook with the ability to create, amend and manipulate Word, Excel and PowerPoint applications
  • Good attention to detail and accuracy
  • Excellent telephone manner, verbal and written communication skills
  • Ability to show empathy and understanding to those who use our services
  • Proven ability to work as part of a multi-disciplinary team 
  • Clear understanding of the role of James Hopkins Trust within Gloucestershire and its funding sources
  • Strong knowledge of Customer Relationship Systems
  • Understanding of who CQC and Ofsted are
